Help center

Everything, on one page.

No ticket system, no search box that finds nothing. The whole of LearnVai’s help is below, grouped by what you are trying to do. Use the contents to jump, or read the setup walkthrough if you are starting from scratch.

  • Setup takes about ten minutes
  • Written for parents
  • Every screen named as the app names it

Setting up

From nothing to a first study session

About ten minutes, most of it uploading. Do it once per student and the rest of the term looks after itself.

  1. Create account to enroll your student

Enroll Your Student with your name, email and a password. Confirm the email that arrives before going further; the account waits on it.

  2. Add your student

Go to My Family and choose Add a student. You need their name, the language they are taking, and the course and level the way the school writes it — “Spanish 1 · 7th grade”, for instance. Click the box confirming you are their parent or guardian.

Give their email and LearnVai invites them to set their own password. Leave it blank and it generates a PIN for your family device instead — that PIN is shown once, so write it down.

  3. Add the course

Open My courses and add the course your student is taking. Whatever course is selected is what the rest of the app follows, so nobody has to pick a course on every screen. Add several courses if your student is studying more than one.

Courses come from a list built per subject and level. If course is not on it yet, tell us — that is how the list grows.

  4. Upload what the teacher handed out

Upload a document takes the syllabus, vocabulary lists, study guides and handouts. PDF, PNG and JPG photos, plain text, Word (.docx) and PowerPoint (.pptx), up to 20 MB each.

On a phone you can photograph paper straight directly into LearnVai.

Files show as Processing while they are read, then Processed. A long PDF can take a couple of minutes; nothing else stops working meanwhile.

  5. Let your student in

If you gave an email, students follow the invite link and choose their own password. If you set a PIN, open Log in on the family device — it offers the profile picker, they tap their name and type the PIN.

From there the work is the students.

Accounts

Accounts, students and logins

How does my student log in?

Three ways, and you choose when you add them.

Student's own password. Give an email address and student get an invitation to set one. Students can access via phone or computer.

A PIN on the family device. No email needed. On a browser you have marked as a family device, the login page shows a profile picker — they tap their name and type a short PIN.

A link by email. Email me a link sends a one-time sign-in link to any email on the account, for when a password has been forgotten mid-week.

What is a family device?

A browser you have marked as belonging to the household — the kitchen laptop, the family iPad. On a recognised device the login page offers Choose your profile instead of demanding an email and password every time, which is the difference between a student studying and a student giving up.

On any other browser, everyone signs in normally.

We have lost the PIN.

Reset it. On My Family each student row has a reset control; the new PIN is shown once, so write it down before leaving the page. The old one stops working immediately.

Can my partner have their own access?

Yes. Add a parent/guardian on My Family invites a second adult by email. Once they accept they see the same students, the same courses and the same tools you do — it is one family account, not a copy.

Can I add more than one student?

Yes, and each gets their own profile, their own courses and their own separate Course Context. Nothing is shared between siblings. The second student is $12.99 a month - pricing page has the details.

My student does not have an email address.

That is fine. Leave the email blank when you add them and use the PIN and family device instead. You can give them an email login later without losing anything.

I forgot my own password.

Use Reset your password from the login page. If you would rather not reset it, Email me a link will sign you in once without a password.

The confirmation email has not arrived.

Check the spam folder first — a confirmation from a service you have just met is the classic false positive.

Materials

Uploading the teacher’s material

What can I upload?

PDF, photographs (PNG or JPG), plain text, Word .docx and PowerPoint .pptx, up to 20 MB per file. You can select several at once.

Syllabus, vocabulary lists, study guides, unit plans, any packets — all of it is useful.

Can I just photograph the paper?

Yes, and it is the intended way in. Most of what comes home is a photocopy, so the upload screen opens the camera directly on a phone. A crooked shot on a kitchen counter reads the same as a clean scan.

How long does it take to process?

A file shows as Processing while it is being read and Processed when it is ready to teach from. Most take well under a minute; a long PDF takes a few. Everything else in the app keeps working while it happens, and the course context card tells you how many files are still being read.

One of my files says “Couldn’t process”.

Open it from My documents — the file’s page shows what went wrong. Usually it is a scan too dark or blurry to read, or a PDF that is one big image with no readable text in it.

Retaking the photo in better light and uploading again fixes most of them. Deleting the failed copy keeps the list tidy but is not required.

Can I delete something I uploaded?

Yes, from My documents, whenever you like. A deleted document stops being used straight away. What happens to the stored file itself is set out in the privacy policy.

Should I upload the whole textbook?

Better not to, on two counts. Practically, the syllabus and the current unit’s material do more good than five hundred pages of everything. And by uploading you are confirming you have the right to use that material this way — the terms cover it. A publisher’s textbook is the one thing worth thinking twice about.

Course Context

Course Context and notes

What is Course Context?

The picture LearnVai holds of one specific class: the material you uploaded, the dates, how that teacher marks, and what your student keeps getting wrong. Everything the app teaches is built from it. There is a full explanation here.

How do I add a note?

Course notes → Add a note. Notes are for the things that are not in any document: the quiz moved to Thursday, she takes marks off for missing accents, he is lost on ser versus estar. You can edit or delete any of them later.

Something suggested a note I did not write.

LearnVai proposes notes when it spots a durable fact about the course — while your student is chatting about the class, or when they miss several cards on the same topic in practice.

A suggestion does nothing until you confirm it. It is not used in a plan, a quiz or an answer while it is only a suggestion, and dismissing one deletes it.

The test date moved. Do I delete the old note?

Replace it instead. The new note supersedes the old one, which is kept as history but stops being used for anything. Nothing gets quietly planned around a date that changed three weeks ago.

It answered “Not in your materials”.

That is the app being honest rather than failing. The tutor answers only from the documents and notes in that course, so when something is not in there it says so instead of inventing a plausible answer.

If it is a fact a person could supply, it offers to remember it as a note — confirm that and the gap is closed for next time. Otherwise, upload the document that covers it.

Studying

What is actually in there

What can my student do day to day?

Flash Cards and Vocab Match for recall, Vocab quizzes in the teacher’s format, Reading Comprehension and Writing for the longer work, and Conversation practice for speaking. Alongside those sit the Lesson plan, which aims at the next date, and Course Chat for asking about the class.

Which of these are available depends on the course.

How long should a session be?

Ten minutes, most nights, beats forty minutes once. That is not a limit the app enforces — it is the shape the whole thing is built around, because it is the session a teenager will actually do after practice.

How does it decide what to practise?

From the course context. Vocabulary returns on a schedule set by how well it is known — shaky words come back tomorrow, solid ones wait a week — and the lesson plan counts backward from the next test date across the evenings that are genuinely free.

It says we have used up this course’s AI allowance.

Each course carries an allowance on how much AI work it can do in a day and in a month, so that one account cannot exhaust the service for everyone. The message tells you which one you have hit: a daily allowance frees up tomorrow, a monthly one at the start of next month.

Nothing is deleted, nothing extra is charged, and everything already generated stays available.

Can it just do the homework?

No, and it is not built to. The tutor works only from your student’s own course material, so it does not behave like a general-purpose writing tool. Using LearnVai to produce work that gets handed in is also against the terms — and usually against the school’s rules, which are the ones that matter.

Does my student need me there?

No. After setup the work is theirs — they sign in as themselves and study on their own. Your side is uploading what comes home, adding the occasional note, and looking at how it is going.

Billing

Paying for it

What does it cost?

$12.99 a month for one student and one course. Every feature is included. The pricing page has more details.

When am I billed?

Monthly, on the same date each month, for whatever your students and courses add up to.

I added a course halfway through the month.

You are charged a partial fee for the days remaining and the normal rate applies from your next billing date.

How do I cancel?

Login, click on "dashboard" page, click on "plan and billing", select cancel button.

Troubleshooting

When something is not right

My student cannot see their course.

Check which student and which course are selected. Courses belong to one student, so a course added for one sibling will not appear for the other, and the app follows whatever is currently chosen on My courses.

Nothing seems to have happened since I uploaded.

Look at My documents and check the status. Still Processing means it is being read — wait a few minutes on a long file. Couldn’t process means it could not be read at all; the file’s own page says why.

If a file has sat in Processing far longer than that, tell us and include the file name.

The tutor will not answer an ordinary question.

That is deliberate. It answers from the course material rather than from general knowledge, so a question the material does not cover gets an honest “not in your materials” instead of a guess. Ask it about the class and it will answer; ask it to explain a joke and it will not.

Something is genuinely broken. How do I tell you?

Email us (support@learnvai.com) with what you were doing, what you expected and what happened — screenshots are helpful!
